Chief of Staff/EA to the CEO of a Prominent Private Equity Firm in Downtown Houston, TX

Our client, a well-known Private Equity Firm, in downtown Houston, TX, is searching for a rockstar Chief of Staff/EA, who can seamlessly support the CEO and be a strategic partner to him and the team as a whole. This role is multi-faceted and has the core admin responsibilities including calendar management, event planning and management, travel coordination and many ad hoc strategic projects. Having the ability to multitask and prioritize tasks is key. This is a high level role, and there will be many projects and travel involved as the role evolves and grows. This role is 100% in office. The ideal candidate will have experience supporting a C-level executive preferably in tri-state area, willing to relocate to Houston, TX.

RESPONSIBILITIES:
  • Reports directly to the CEO
  • Provides clear and concise updates to the Executive about all team workflows, including Property, Finance and the Executive Assistant Team. 
  • Managing and providing oversight of the Private Office Team. Key tasks/responsibilities include:
  • Complex and extensive calendar management
  • Co-ordinating complex holiday itineraries including family activities abroad, ensuring all elements of the trip run seamlessly
  • Project management including running large scale renovation projects, working with budgets and negotiating rates with external suppliers
  • Arranging and  preparing  for  meetings  which  includes  making  sure  the  relevant individuals  can  attend,  collating  and  circulating  documents  prior  to  the meeting, and subsequently diarizing follow-ups and action points
  • Liaising with  members  of  the  wider  team  on  various  projects  and  initiatives

REQUIREMENTS:
  • Setting clear direction for the private office team and maximizing output by delegating and supervising effectively
  • Establishing a solution-oriented approach to challenging scenarios and maintaining momentum towards objectives and deadlines
  • Dealing with competing priorities on a daily basis, it is essential to exercise good judgement and to have the strength of character to remain firm
  • At all times maintaining a professional, calm and composed manner in a fast-paced and high-pressured working environment, whilst exhibiting diplomacy and discretion
  • Must be a team player, hard-working, communicative, curious, confident and resilient
  • Ability to demonstrate a disciplined thought process and precise attention to detail
  • At least ten years' EA experience our of financial services
  • Very strong administrative and IT skills; Outlook, Word, Excel
  • Familiarity with legal documents, HR/employment matters and basic accounting / record keeping
  • Project management and supervisory experience with the ability to lead and manage a diverse set of people
  • Ability to work weekends and Bank Holidays as required and willingness to be contacted out of hours
  • Willing to travel with the CEO, as needed

SALARY:
DOE + discretionary bonus + excellent benefits + relocation package
