Executive Assistant to support C-Suite Exec at Hedge Fund in Midtown

Our client, a well-established investment firm with a decades-long track record is seeking a high-level Executive Assistant to support the CEO and one other senior executive. This role requires exceptional organizational, communication, and interpersonal skills, and offers the opportunity to contribute to a fast-paced, collaborative environment. The ideal candidate will have a proven ability to handle highly confidential matters with discretion and to juggle a range of administrative responsibilities with poise and professionalism. This role is in office 5x a week and does require 24/7 availability. 

RESPONSIBILITIES: 

Calendar & Scheduling

  • Manage and prioritize complex calendars for the CEO and a senior executive

  • Coordinate meetings, calls, and events across multiple time zones

  • Prepare detailed daily itineraries and anticipate scheduling conflicts

Communication & Correspondence

  • Screen and prioritize incoming calls and emails

  • Draft and edit emails, letters, and other documents on behalf of the CEO

  • Act as a liaison with internal stakeholders and external partners

Travel Management

  • Plan domestic and international travel (including private aviation)

  • Coordinate accommodations, ground transportation, and logistics

  • Handle all travel documentation and provide real-time travel support

Meeting & Event Coordination

  • Prepare materials for board and executive meetings

  • Schedule internal and external meetings and manage room/tech logistics

  • Track action items and follow-up after meetings

Project & Administrative Support

  • Manage executive compliance reporting and special projects

  • Maintain executive files and handle sensitive documents

  • Process expense reports and monitor budgets

  • Provide backup support to other EAs as needed

REQUIREMENTS: 

  • 7–10+ years of executive assistant experience, ideally supporting C-suite

  • Bachelor’s degree preferred

  • Experience in a fast-paced corporate or investment environment

  • Strong proficiency in Microsoft Office Suite and calendar management systems

  • Excellent written and verbal communication skills

  • Highly detail-oriented with strong time management and problem-solving abilities

  • Ability to exercise sound judgment and maintain absolute confidentiality

  • Team-oriented, proactive, and adaptable with a “no task too big or small” mindset

  • Strong interpersonal skills with a client-service mentality

HOURS: 

8:30-5:30pm + 24/7 avail Monday through Friday 

SALARY: 
$150-200K base + discretionary bonus + great benefits!
