Executive Assistant / Office Manager to Fast-Growing Tech Startup

Our client, a fast-growing tech startup, is seeking an Executive Assistant/Office Manager to join their NYC team. The successful candidate will be organized, collaborative and an excellent multitasker with exceptional follow-through. They will possess strong verbal and communication skills, be resourceful, flexible and professional. This is a fantastic opportunity to support a top executive and help get an office off the ground and contribute to growth.  This role is in the office, 5x a week                 
           

RESPONSIBILITIES

  • Organize and coordinate meetings, conferences, and travel arrangements (both domestic and international)
  • Maintain schedules and heavy calendars
  • Prepare and submit expenses reports
  • Screen and forward calls, provide information, take messages 
  • Prepare and manage correspondence, reports and documents
  • Track meetings, contacts and projects in CRM system 
  • Office Management tasks including, getting a new office fully setup and running, liaising with building management and managing vendors
  • Occasionally greet guests and provide conference room maintenance and preparation before every meeting
  • Weekly inventory, ordering and stocking of office supplies 
  • Handle the in and outgoing mail, as well as receiving packages and transmitting them promptly to the correct individual
  • Assist with preparation of presentation materials
  • File, copy, scan and bind documents as needed
  • Ad hoc projects and assignments as requested

 

REQUIREMENTS

  • 7-8+ years of prior administrative / office support or related experience - startup experience is a plus!
  • Superb written and verbal communication skills
  • Excellent knowledge of administrative procedures
  • Detail-oriented and organized 
  • Ability and willingness to take initiative 
  • Proficient with Microsoft Office Suite - Google Software is a plus
  • Must be dependable, hold confidentiality and possess discretion
  • A flexible and positive approach to the job is a must!
  • Proactive and flexible
  • College degree required


SALARY
$120-$140K (DOE) + Stock options + Benefits + PTO


HOURS
9:00/9:30am-5:00/5:30pm (DOE)
