Our client, a boutique investment management firm, is looking to hire a Temp-to-Perm, Part-Time Office Manager/Administrative Assistant to sit at their front desk for their beautiful NYC office. The successful candidate must be well-spoken, skilled, polished, and a very sunny and welcoming disposition. The position requires at least 2-3 years of administrative experience, strong skills, and a "no-job-beneath-me-attitude". The role is 3x days week in-office from 9am-3pm.
RESPONSIBILITIES
Oversee and manage office operations, including supplies, equipment, and facilities and ensure the smooth functioning of the office
Maintain the office and ensure a clean, functional, and productive environment
Serve as the primary point of contact for office-related issues and coordinate with vendors and service providers
Order and manage office supplies, ensuring the office is well-stocked and organized
Assist with the preparation of reports, presentations, and spreadsheets
Manage office budgets, track expenses, and assist with accounting and billing tasks as necessary
Assist with the onboarding and offboarding of staff as required
Assist with event planning, including meetings, conferences, and team-building activities
Prioritize and manage multiple projects simultaneously
Perform other related duties as required
REQUIREMENTS
Prior office experience with demonstrated exposure to a corporate reception desk, within a fast-paced business environment, preferably in the financial industry.
Strong attention to detail with strong follow-up skills.
Ability to monitor/track deadlines within tight timeframes.
Strong proficiency in Microsoft Office and Internet navigation.
Positive, high-energy, “can-do” attitude and excellent interpersonal skills.
Well organized, diligent and thorough in efficiently managing multiple tasks.
Excellent listening skills. Ability to respond well to questions and seek clarification as needed.
Demonstrated poise, tact and diplomacy, with the ability to work effectively and remain calm under pressure.
SALARY $(DOE)
HOURS 3 days/week in-office from 9am-3pm. Candidate can chose the days - ideally spread out throughout the course of the week.
