Temp-to-Perm Part-Time Office Manager/Administrative Assistant at Boutique Investment Firm in Midtown

Our client, a boutique investment management firm, is looking to hire a Temp-to-Perm, Part-Time Office Manager/Administrative Assistant to sit at their front desk for their beautiful NYC office. The successful candidate must be well-spoken, skilled, polished, and a very sunny and welcoming disposition. The position requires at least 2-3 years of administrative experience, strong skills, and a "no-job-beneath-me-attitude". The role is 3x days week in-office from 9am-3pm.

RESPONSIBILITIES
  • Oversee and manage office operations, including supplies, equipment, and facilities and ensure the smooth functioning of the office
  • Maintain the office and ensure a clean, functional, and productive environment
  • Serve as the primary point of contact for office-related issues and coordinate with vendors and service providers
  • Order and manage office supplies, ensuring the office is well-stocked and organized
  • Assist with the preparation of reports, presentations, and spreadsheets
  • Manage office budgets, track expenses, and assist with accounting and billing tasks as necessary
  • Assist with the onboarding and offboarding of staff as required
  • Assist with event planning, including meetings, conferences, and team-building activities
  • Prioritize and manage multiple projects simultaneously
  • Perform other related duties as required
 
REQUIREMENTS
  • Prior office experience with demonstrated exposure to a corporate reception desk, within a fast-paced business environment, preferably in the financial industry.
  • Strong attention to detail with strong follow-up skills. 
  • Ability to monitor/track deadlines within tight timeframes.
  • Strong proficiency in Microsoft Office and Internet navigation.
  • Positive, high-energy, “can-do” attitude and excellent interpersonal skills.
  • Well organized, diligent and thorough in efficiently managing multiple tasks. 
  • Excellent listening skills.  Ability to respond well to questions and seek clarification as needed. 
  • Demonstrated poise, tact and diplomacy, with the ability to work effectively and remain calm under pressure.
 
SALARY

HOURS
3 days/week in-office from 9am-3pm. Candidate can chose the days - ideally spread out throughout the course of the week.
