Executive Assistant to Chief Communications Officer at global investment firm

Our client, a global investment firm is looking to hire an Executive Assistant to provide support to their Chief Communications Officer. The successful candidate must have at least 3-5 years of administrative experience. The ideal candidate should be smart and dynamic and should thrive in a fast-paced environment. This is a great role for a career admin who is looking to find their next home for many years to come. 

RESPONSIBILITIES:
  • Calendars: Maintain calendars, contacts and tasks and coordinate internal and external meetings 
  • Travel: Coordinate complex domestic and international travel arrangements which include flights, car service, dinner reservations, colleague and client meetings etc.  (multi-leg trip with different time zones).
  • Phones: Answer phone lines and take messages as needed;
  • Office Support: On occasion only, order supplies and retrieve guests/deliveries from lobby
  • Presentations:  Help prepare presentation materials
  • Conferences: Manage attendance to conferences and membership to business organizations
  • Expenses: Review, edit and complete expense reports; work with AP for timely payments and track reimbursements
  • Research: On occasion only, provide internet research support
  • General: Assist with special projects as needed; Pro-actively anticipate work assignments whenever possible
REQUIREMENTS:
  • Minimum of 3-5 years of administrative experience
  • College degree preferred
  • Strong computer and Internet research skills
  • Excellent Microsoft Office Skills (primarily Outlook, Word and PowerPoint)
  • Strong organizational skills and attention to detail
  • Ability to work independently with strong follow-through skills
  • Excellent communication skills – both verbal and written
  • Flexibility to juggle an extensive degree of multiple and changing priorities
  • Resourcefulness (especially online) in executing projects
  • Collaborative/teamwork attitude and skills a must
SALARY
$110-125K  + discretionary bonus

HOURS
8:30/9am-5:30/6pm + OT as needed
