Apply to Executive Assistant to Founder/CIO at Midtown Hedge Fund--4x a week in office
Our client, a boutique investment firm focused on distressed debt and credit, is seeking a smart, proactive, and highly organized Executive Assistant to support its Founder/CIO. This is a unique opportunity to work directly alongside the Founder of a small, close-knit investment firm and grow into a true right-hand role across his day-to-day business and administrative needs.
This is not a traditional Executive Assistant role, and they are not focused on finding someone who has already spent years doing the exact job. They are very open to someone earlier in their career with strong raw potential who is hungry to learn, highly capable, and excited to be trained and developed. The Founder is looking for someone who can wear many hats, take initiative, figure things out, and gradually learn to anticipate what needs to get done without always waiting for direction.
The Founder is frequently out of the office and communicates heavily via email and phone, so this person needs to be an excellent communicator who can keep him organized, remind him of priorities, follow up consistently, and make sure nothing falls through the cracks. The ideal candidate is polished, smart, resourceful, highly teachable, and has a genuine “I can do this, just show me how” mentality. Attitude, aptitude, judgment, and long-term potential are far more important than years of prior EA experience.

RESPONSIBILITIES:
- Serve as the Founder/CIO’s primary administrative partner and grow into a trusted right hand over time
- Manage calendar and scheduling, including internal meetings, investor meetings, calls, appointments, and external commitments
- Proactively remind the Founder of meetings, deadlines, commitments, and outstanding follow-ups and help keep him on top of priorities
- Communicate frequently with the Founder via email and phone when he is traveling or working outside of the office
- Coordinate domestic and international travel, including approximately 8 trips per year
- Arrange flights, accommodations, ground transportation, itineraries, and related logistics
- Coordinate annual conferences and other firm and investment-related events
- Support investor meetings and communications, ensuring the Founder is organized and prepared
- Coordinate gifts, reservations, and other business and occasional personal requests as needed
- Assist with light personal support, including occasional scheduling and travel-related needs
- Set up meetings and ensure all logistics are handled seamlessly
- Take initiative on administrative projects and proactively identify areas where additional support is needed
- Serve as backup support to the firm’s Stock/Trading Floor as needed
- Help coordinate firm parties, team events, and monthly gatherings
- Work collaboratively across the broader investment team and provide additional support for meetings and occasional travel as needed
- Handle confidential business, investor, and personal information with discretion
- Take on additional projects and responsibilities as the role and relationship develop
- Prior Executive Assistant experience is not required; they are open to candidates with limited experience who demonstrate exceptional potential, maturity, and aptitude
- Some prior professional experience within an administrative, client-facing, financial services, investment, professional services, or similarly polished environment is a plus
- Smart, hungry, capable, and genuinely eager to learn
- Strong “I can figure this out” mentality with the confidence to take on responsibilities they may not have handled before
- Highly coachable and receptive to training, direction, and feedback
- Proactive and forward-looking with the potential to develop strong anticipation skills
- Extremely organized with strong attention to detail and follow-through
- Polished, professional, and well-spoken with the confidence and maturity to interact with investors and senior external contacts
- Strong written and verbal communication skills
- Comfortable working with a principal who is frequently out of the office and communicating regularly via phone and email
- Able to keep track of reminders, follow-ups, and priorities and ensure things get done
- Resourceful with strong problem-solving instincts
- Low ego with a willingness to wear many hats and help wherever needed
- Strong judgment and discretion
- Comfortable working within a small, close-knit environment
- Interested in being developed, taking on increasing responsibility, and finding a long-term home
- Monday through Thursday in office
- Work from home on Fridays
- Two weeks per month fully remote
- Last week of July fully remote
- Midtown Manhattan
- Limited overtime expected
- $85K–$100K base for a more junior/up-and-coming candidate, DOE
- Potential to go up to approximately $125K base for a candidate with stronger directly relevant experience
