Executive Assistant to Midtown Wealth Management Firm--Hybrid

Our client, a rapidly growing wealth management firm, is seeking a Team Executive Assistant / Administrative Assistant to support a group of Advisory professionals. This is a highly visible role requiring strong organizational skills, attention to detail, and the ability to operate effectively in a fast-paced, client-focused environment.

The ideal candidate is polished, proactive, and service-oriented, with experience supporting multiple professionals and managing competing priorities. This role requires someone who is a strong communicator, comfortable interacting with senior stakeholders and clients, and able to anticipate needs while maintaining a high level of discretion. The right person will thrive in a collaborative environment and enjoy being a key partner to their team. This role is hybrid 4x a week in their Midtown office. 

RESPONSIBILITIES:

  • Provide comprehensive administrative support to a team of Advisory professionals
  • Manage complex calendars, scheduling internal and external meetings
  • Coordinate meeting logistics including conference rooms, videoconferencing, and catering
  • Prepare and organize materials for meetings and client interactions
  • Arrange domestic travel including flights, hotels, and transportation
  • Prepare and submit expense reports using Concur
  • Track deliverables, follow-ups, and key deadlines for the team
  • Serve as a point of contact for internal and external stakeholders
  • Assist with client-related coordination and communications
  • Partner with internal administrative and hospitality teams to support events and office initiatives
  • Support ad hoc projects and team needs as they arise

REQUIREMENTS:

  • 3–7+ years of experience in an administrative or Executive Assistant role
  • Experience supporting multiple professionals in a fast-paced environment
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Professional, polished demeanor with strong interpersonal skills
  • Ability to handle confidential information with discretion
  • Proactive, solutions-oriented mindset with strong follow-through
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); Concur a plus
  • Team-oriented with a collaborative approach

HOURS:
8:30am–5:30pm
Hybrid onsite, Monday–Thursday and WFH Friday

SALARY:
$85K–$120K base (DOE) + paid overtime + bonus + comprehensive benefits package
