RESPONSIBILITIES:
Executive Support & Leadership Partnership
• Provide high-level executive support, including complex calendar management, meeting coordination, travel arrangements, and prioritization of competing demands
• Act as a strategic gatekeeper, optimizing executive time and ensuring alignment with key business priorities
• Prepare briefings, agendas, and materials; track follow-ups and drive execution of next steps
• Liaise and coordinate with global teams
• Manage scheduling and communication across multiple time zones, ensuring seamless coordination with global stakeholders
Corporate Governance & Board Support
• Coordinate Board and committee meetings, including agendas, materials, minutes, and follow-ups
• Maintain corporate records, governance documents, and minute books
• Ensure adherence to governance best practices and regulatory requirements; support shareholder communications and meetings
Public Company & Regulatory Compliance
• Support SEC filings and public company reportieng requirements
• Maintain compliance records and monitor regulatory updates impacting the business
• Partner with Legal and Finance to ensure accuracy and timeliness of disclosures
Equity & Corporate Administration
• Assist with managing equity programs, including stock plans, grants, and tracking of ownership records
• Coordinate with Finance, HR, and external partners on equity administration and reporting
• Oversee corporate entity management, filings, and documentation across jurisdictions
Cross-Functional & External Coordination
• Partner closely with Legal, Finance, HR, Compliance, and executive leadership
• Liaise with external counsel, auditors, regulators, and advisors
• Support strategic initiatives, special projects, and company-wide priorities
REQUIREMENTS:
• Bachelor’s degree
• 7–10+ years of experience in executive support or legal/ board-facing roles with corporate governance exposure
• Experience supporting a publicly traded company and familiarity with SEC compliance
• Knowledge of corporate governance practices, equity administration, and corporate structures
• Experience with SOC II or similar compliance frameworks preferred
• Strong organizational, communication, and project management skills
• High level of discretion, judgment, and professionalism
• Ability to operate autonomously and manage multiple priorities in a fast-paced environment
SALARY:
$150-$200K (DOE) + Discretionary Bonus + Excellent Benefits
HOURS:
8:30am–5:30/6:00pm w/ flexibility.
Successful candidate will have a 24/7 mindset.
On-site, 5 days per week.
Occasional travel.
