Executive and Personal Assistant to support CEO of Renowned Finance Firm in Midtown (5x a week in office)

Our client, a leading investment firm based in Midtown Manhattan, is seeking a highly polished and detail-oriented Executive Assistant to join their CEO & Founder support team. This role operates as the second seat in a two-Executive Assistant partnership, working closely alongside the lead EA to manage the behind-the-scenes operations that enable the Founder/CEO to operate at the highest level.

This is not a traditional administrative role. It sits in a fast-paced, intellectually rigorous environment where precision, discretion, and anticipatory thinking are critical. The ideal candidate thrives in complexity, takes pride in flawless execution, and operates with a high degree of ownership and accountability.

The role requires close collaboration with the lead Executive Assistant, ensuring seamless coverage, shared prioritization, and continuity across all aspects of executive support. This individual will be trusted with highly sensitive information and expected to exercise strong judgment while operating as a true extension of leadership.

This position is based in-office five days per week in Midtown Manhattan.

RESPONSIBILITIES:

  • Provide high-level executive support across all administrative functions for the Founder/CEO

  • Partner closely with the lead Executive Assistant to divide responsibilities and ensure seamless day-to-day coverage

  • Manage an extremely complex, ever-changing calendar, prioritizing meetings and protecting time for key initiatives

  • Anticipate scheduling conflicts and proactively resolve challenges while optimizing the executive’s time

  • Coordinate internal and external meetings with strong attention to preparation, materials, and follow-through

  • Handle highly confidential and sensitive information with absolute discretion

  • Coordinate extensive domestic and international travel, including multi-leg itineraries, accommodations, and ground transportation

  • Prepare detailed travel itineraries and briefing materials; manage real-time changes and disruptions with sound judgment

  • Prepare meeting materials, agendas, and background documents for internal and external meetings

  • Support logistics for board meetings, investor meetings, and leadership gatherings

  • Process expenses and manage administrative financial tasks with accuracy

  • Maintain organized systems for files, materials, and executive documentation (both physical and digital)

  • Coordinate with IT, facilities, and operations to ensure smooth day-to-day executive support

  • Partner with internal teams (including Marketing, Client Strategies, and others) on cross-functional initiatives

  • Step in to provide full coverage when the lead EA is unavailable, ensuring continuity at all times

  • Support ad hoc projects, special initiatives, and process improvements across the administrative function

REQUIREMENTS:

  • 5+ years of experience supporting C-level executives, ideally within financial services or professional services

  • Demonstrated experience managing complex calendars, travel logistics, and competing priorities at a high level

  • Proven ability to handle confidential and sensitive information with discretion and sound judgment

  • Strong decision-making skills with the ability to operate independently and escalate when appropriate

  • Excellent written and verbal communication skills with a high level of polish

  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • Ability to remain calm under pressure and adapt quickly in a fast-paced environment

  • Professional presence with the ability to interact confidently with senior executives, investors, and stakeholders

  • Willingness to maintain flexibility in hours to support executive needs

  • Highly detail-oriented with strong organizational skills and an anticipatory mindset

  • Collaborative team player, comfortable working in a two-EA partnership structure

  • Proactive, resourceful, and solutions-oriented with a strong sense of ownership

HOURS:

Monday through Friday, in-office in Midtown Manhattan
Flexibility required outside of standard hours based on executive needs

SALARY:

$250K–$300K base + generous discretionary bonus + 100% covered health, dental, and vision + 401(k) with 4% match + unlimited PTO + additional comprehensive benefits
