Our client, a top-tier global investment firm, is seeking a highly organized, proactive Executive Assistant / Project Executive Assistant to support a fast-moving, high-performing team within one of the firm’s core investment businesses. This role sits at the intersection of administrative support, project coordination, and operational execution, and is ideal for someone who thrives in an environment where priorities shift quickly and no two days look the same. This position plays a critical role in supporting team operations, office logistics, and internal initiatives, while also providing scheduling and coordination support as needed. The ideal candidate is flexible, resourceful, detail-oriented, and energized by change. This role is 5x/week in-office.
RESPONSIBILITIES:
Provide administrative and scheduling support to senior professionals and the broader team as needed.
Coordinate onboarding and offboarding processes in partnership with HR and internal stakeholders.
Manage office seating, space planning, and day-to-day logistics for the team.
Support the planning and execution of town halls, internal meetings, and team-wide events.
Assist with scheduling, meeting coordination, and preparation of materials.
Serve as a central point of coordination for evolving projects and initiatives.
Adapt quickly to shifting priorities and changing scopes of responsibility.
Handle confidential information with discretion and professionalism.
Take on ad hoc projects as business needs evolve.
REQUIREMENTS:
3–7 years of experience in an Executive Assistant, Project EA, or administrative/project support role within a fast-paced corporate or financial services environment.
Strong organizational skills with the ability to manage multiple workstreams simultaneously.
Highly adaptable, flexible, and comfortable with ambiguity.
Strong communication and interpersonal skills; polished and professional.
Proactive mindset with a solutions-oriented approach.
Detail-oriented with excellent follow-through.
Bachelor’s degree preferred.
HOURS: 8:30am–5:30pm, Monday–Friday
Flexibility required for overtime as needed
