Temp to Perm Administrative Assistant at Midtown Investment Firm (5x a week onsite)

Our client, a well-established investment management firm, is seeking a highly organized and professional Temp to Perm Administrative Assistant to support several Portfolio Managers and Client Advisors in their Midtown, New York office. This role provides broad administrative and clerical support in a fast-paced, client-facing environment and is ideal for someone who thrives on multitasking, attention to detail, and collaboration.
This is an amazing opportunity for a candidate with great writing skills and attention to detail to grow with a firm. The role is onsite five days per week, with limited flexibility to work from home on an occasional basis. Candidate needs to have outstanding writing and technical Excel skills. Ideally out of a professional services environment or financial services.
RESPONSIBILITIES:
Provide comprehensive administrative support to multiple investment professionals, handling a mix of routine and complex tasks with professionalism and discretion
Greet visitors and callers, respond to inquiries, route calls appropriately, and provide a polished first point of contact
Manage calendars, schedule meetings, appointments, and conference calls; prepare agendas and coordinate logistics
Arrange domestic and international travel and prepare, submit, and reconcile expense reports using Concur
Prepare and process incoming and outgoing correspondence and mail; draft responses to advanced inquiries
Coordinate meetings, receptions, and client-facing events
Assist with the preparation of presentation materials for client and prospective client meetings, including compiling, assembling, binding, and distributing materials
Maintain and organize electronic and paper filing systems for records, correspondence, and confidential materials
Type and distribute meeting notes, routine correspondence, and reports
Support special projects and ad hoc assignments as needed
QUALIFICATIONS & SKILLS:
Associate’s degree in Business Administration or a related field
2–4 years of administrative experience, preferably within financial services
Strong proficiency in Microsoft Office, particularly Word, PowerPoint, and Excel
Excellent written and verbal communication skills with strong grammar and professional phone etiquette
High level of interpersonal skills; comfortable interacting with colleagues and clients at all levels
Strong time management skills with the ability to prioritize deadlines under pressure
Detail-oriented with strong problem-solving instincts and sound judgment
Team-oriented, collaborative, and adaptable, while also able to work independently
Demonstrates integrity, initiative, and a consistently positive, can-do attitude
WORK ENVIRONMENT & ADDITIONAL DETAILS
Onsite in the New York office five days per week; occasional work-from-home flexibility as needed
Professional office environment; business attire required
Fully benefit eligible once converted to perm
