Executive Assistant to Support Team at Midtown Asset Management Firm--5x a week in office

New York, New York

Our client, a leading asset management firm, is seeking a proactive and highly organized Executive Assistant to support three Fund Managers. This is a fully in-office role within a fast-paced and collaborative investment environment. The Executive Assistant will serve as a critical partner to the investment team, helping manage competing priorities, streamline communication, coordinate logistics, and ensure seamless day-to-day operations.

The ideal candidate has 5–8 years of experience supporting investment professionals within asset management, hedge funds, private equity, or investment banking environments and thrives in a high-performance culture where attention to detail, responsiveness, and discretion are paramount. This role is in office 5x a week. 

RESPONSIBILITIES:
• Provide comprehensive administrative support to three Fund Managers within a fast-paced asset management environment
• Manage complex and ever-changing calendars, including internal investment meetings, research discussions, management meetings, investor meetings, and external conferences
• Coordinate extensive domestic and international travel, including detailed itineraries, transportation, accommodations, and last-minute changes
• Prepare and process expense reports accurately and in a timely manner
• Coordinate meetings with portfolio company management teams, sell-side analysts, investors, consultants, and other external stakeholders
• Manage conference registrations, industry events, roadshows, and investment-related travel logistics
• Assist with preparation and distribution of meeting materials, presentations, investment committee materials, and research documents
• Track team schedules, PTO calendars, and key business deadlines to ensure seamless coordination across the investment team
• Serve as a liaison between the Fund Managers and internal departments including Investor Relations, Operations, Compliance, Legal, Finance, and Executive Administration
• Coordinate onboarding logistics, technology requests, and workspace needs for new team members
• Support quarterly and annual planning activities, team offsites, and department events
• Maintain highly confidential information with discretion and professionalism
• Anticipate needs, proactively solve problems, and ensure the Fund Managers are operating as efficiently as possible
• Provide ad hoc project support and administrative assistance to the broader investment team as needed

REQUIREMENTS:
• 5–8 years of Executive Assistant experience supporting senior professionals within asset management, hedge funds, private equity, investment banking, or related financial services environments strongly preferred
• Experience supporting portfolio managers, fund managers, investment professionals, partners, or other senior executives within an investment-focused environment preferred
• Strong calendar management and scheduling experience in a fast-paced environment
• Excellent communication and interpersonal skills
• Exceptional organizational skills and attention to detail
• Ability to manage multiple priorities and adapt quickly to changing demands
• High emotional intelligence and a collaborative, team-oriented mindset
• Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
• Professionalism, maturity, and discretion in handling confidential information
• Strong sense of ownership, urgency, and follow-through

HOURS:
• Monday through Friday
• 9:00 AM – 5:30 PM
• Fully in-office (5 days per week)
• Flexibility required for occasional extended hours

COMPENSATION & BENEFITS:
• $90,000–$130,000 base salary
• Discretionary bonus
