Executive Assistant to MD & Partner at a Boutique Financial Firm near the Meatpacking District

Our client, a boutique financial firm near Meatpacking, is looking to hire an Executive Assistant to support an MD & 1-2 other Executives.  This person will also help the other admins run the office.  They will provide administrative support to the Executive and a small team which will include calendar management, scheduling, travel arrangements and expense reports. This person will also help with research, and other ad hoc projects as needed.  This would be an amazing opportunity for someone to join a close-knit group with incredible employee retention. It is a dream opportunity! This role is 5x days a week in-office.

This Executive works at an impressive level of efficiency and the candidate must be extremely efficient and responsive!

RESPONSIBILITIES

  • Handle heavy scheduling for internal and external meetings  
  • Manage complex, always changing calendars
  • Arrange heavy domestic and international travel with intricate itineraries 
  • Collect all travel-related expense receipts and prepare expense reports for reimbursement
  • Take inventory and order office and pantry supplies
  • Help coordinate daily lunches
  • Conference room coordination
  • General research preparation for MD & team
  • Input notes in their CRM system
  • Track partner data in Excel
  • Additional ad hoc projects as needed

 
REQUIREMENTS

  • Bachelor’s Degree is preferred
  • 3-5 years of administrative experience
  • Extremely speedy response time
  • Well-versed in Microsoft Office
  • High level of discretion and confidentiality
  • Excellent written and oral communication skills
  • Proactive and self-starter mentality
  • Very detailed oriented
  • Takes direction well
  • Ideally out of financial services
  • Experience with Excel and/or CRM a plus


SALARY
Up to $130K base + Discretionary Bonus + Excellent Benefits
 
HOURS
9am - 6pm
Monday-Friday in-office
