Executive Assistant to small team at boutique, UK-based private equity firm

Our client, a growing and dynamic private equity firm, is seeking a polished and proactive Executive Assistant to support a team of 3 investment professionals. This role is ideal for someone who thrives in a boutique and community-oriented firm, and enjoys being a key part of a diligent, high-performing team. The ideal candidate will have 3–5 years of administrative experience supporting a busy team, bring a confident, forward-thinking mindset, and take pride in being the person who keeps everything running smoothly. A strong attention to detail, polished communication skills, and a hardworking, can-do attitude are essential.


RESPONSIBILITIES

  • Answer and screen incoming calls with professionalism and discretion

  • Manage complex, heavy calendars for multiple team members, prioritizing and resolving scheduling conflicts

  • Book and coordinate internal and external meetings, including logistics and follow-up

  • Ensure professionals are fully prepared for meetings with all necessary materials and information

  • Arrange domestic and international travel, including flights, hotels, car services, and dinner reservations

  • Prepare and process monthly travel and expense reports in a timely and accurate manner

  • Provide back-up support to other admins during vacations or leaves, ensuring seamless coverage

  • Maintain the highest level of discretion and confidentiality in all matters


REQUIREMENTS

  • 3–5 years of administrative experience supporting senior professionals, ideally in financial services

  • Bachelor’s degree required

  • Poised, tactful, and professional at all times

  • Ability to thrive in a fast-paced, rigorous work environment with shifting priorities

  • Superb written and verbal communication skills, with strong attention to detail when composing and proofing materials

  • Punctual, dependable, and highly organized, with strong follow-through

  • Demonstrated initiative, ownership of responsibilities, and a proactive, resourceful mindset

  • Ability to work both independently and collaboratively as part of a close-knit team

  • Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)


SALARY
$100–125K base (DOE) + discretionary bonus + excellent benefits


HOURS
9:00am–6:00pm (with some flexibility to be reachable after hours as needed)
Monday–Thursday in office, work-from-home on Fridays
