Remote EA/Chief of Staff to Founder/CEO of Rapidly Growing AI Firm

New York, NY

Our client, an innovative and rapidly scaling AI value-creation firm, is seeking an exceptional Remote Executive Business Partner to support the Founder/CEO. This role serves as the CEO’s primary operating partner and coordination hub, ideal for someone who thrives in fast-paced, high-growth environments, balances strategic thinking with hands-on execution, and can create structure. Having the ability to be a self-starter, multitask and prioritize tasks is key. This is a high level and demanding role, and there will be many opportunities to get involved with projects that are not listed below as the company and role evolves and grows. This role is 100% remote.


RESPONSIBILITIES

  • Manage and optimize the CEO’s priorities, calendar, workflows, and time allocation

  • Prepare agendas, materials, and context for key meetings; consolidate notes and ensure follow-through

  • Draft and refine internal and external communications on behalf of the CEO

  • Serve as the operational “glue,” maintaining alignment across teams and workstreams

  • Build and maintain lightweight operating cadences, planning processes, and leadership rhythms

  • Lead end-to-end recruiting coordination, including scheduling, communication, and feedback loops

  • Plan and execute internal events, offsites, workshops, and community gatherings

  • Support the firm’s studio and community ecosystem, including founders, partners, and portfolio companies

  • Identify operational friction points and implement pragmatic process improvements

  • Partner with the CEO on strategic projects, research, and new initiative launches, leveraging AI tools to increase efficiency


REQUIREMENTS

  • Bachelor’s degree preferred

  • 5+ years in roles such as Chief of Staff, Executive Business Partner, Founder’s Associate, or Strategy & Operations

  • Experience supporting founders or senior executives in fast-paced, high-growth environments

  • Proven ability to manage complex, ambiguous projects and drive them to completion

  • Exceptional organizational, prioritization, and project management skills

  • Excellent written and verbal communication with strong synthesis and editing skills

  • High integrity, discretion, and sound judgment with sensitive information

  • Ability to create structure, anticipate needs, and operate with high ownership

  • Proficiency with Google Workspace, Notion, Slack, Asana (or similar)

  • Comfort using AI tools and modern systems to increase operational efficiency; early-stage or recruiting/event experience is a plus


SALARY

$ (DOE) + discretionary bonus + great benefits + remote flexibility
