Data Entry Specialist at Midtown Recruiting Firm--Hybrid

Our client, a boutique executive search firm, is seeking a highly detail-oriented and organized Data Entry Specialist to join their team. This role is critical to maintaining the firm’s proprietary database and ensuring the accuracy and integrity of all candidate and client information. The position reports directly to the Head of Market Knowledge and will support recruiters and partners with data entry, research, and administrative projects. The ideal candidate will have prior experience in data entry or administrative support, strong computer and Excel skills, and the ability to manage multiple tasks in a fast-paced environment. The firm works 3x a week in office in their Midtown location.


RESPONSIBILITIES:
  • Accurately input, update, and maintain confidential candidate and company records in the firm’s CRM system.
  • Verify, clean, and de-duplicate existing data to ensure accuracy and consistency.
  • Upload and organize candidate resumes and related documents.
  • Support recruiters and Managing Partners with ad hoc data and research requests.
  • Assist with market mapping using LinkedIn, company websites, and external data tools.
  • Generate reports and client deliverables such as status updates and organizational charts.
  • Partner with the recruiting team to ensure data accuracy for sourcing and outreach.
  • Review outsourced data entry work for quality control and provide feedback.
  • Take ownership of assigned projects, demonstrating initiative and the ability to work independently.

REQUIREMENTS:
  • Bachelor’s degree preferred.
  • Prior data entry or administrative experience required.
  • Strong computer and Excel skills, including data imports/exports.
  • Exceptional attention to detail and accuracy, with a demonstrated ability to identify and correct errors.
  • Strong organizational and time management skills, with the ability to prioritize and multitask.
  • Comfortable working in a fast-paced, dynamic environment.
  • Self-motivated, proactive, and reliable, with a team-oriented mindset.
  • Discretion and professionalism in handling confidential information.
  • Experience in finance-related environments or familiarity with financial services concepts a plus.
  • Experience with applicant tracking systems preferred.
  • Familiarity with AI tools or basic coding a plus.

HOURS:
Monday through Friday, 9:00am–5:00pm ET; in office 3x per week

SALARY:
$60–80K base + discretionary bonus + great benefits
