Our client, a boutique life sciences firm located in Midtown Manhattan, is looking to hire an Executive Assistant to help provide support to their Executive Team comprised of their CEO, COO and 2-3 other high-level executives. This person will provide administrative support which will include calendar management, scheduling, travel arrangements and expense reports. In addition, this person will oversee the office overall and make sure everything is running smoothly from an operational standpoint. This person should have at least 7 years of administrative experience, ideally out of life sciences, or with a passion for the healthcare world.
RESPONSIBILITIES
- Handle heavy scheduling for internal and external meetings
- Calendar management and rearranging conflicts as needed
- Arrange domestic and international travel with itineraries
- Collect all travel-related expense receipts and prepare expense reports for reimbursement
- Take inventory and order office and pantry supplies
- Conference room coordination.
- Liaise with building, IT and other vendors
- Register guests for the building
- Light personal work as needed
- Additional ad hoc projects
REQUIREMENTS
- Bachelor’s Degree is preferred
- 5+ years of administrative experience (related field a plus)
- Scheduling guru
- High level of discretion and confidentiality
- Excellent written and oral communication skills
- Proactive and self-starter mentality
- Adaptable and flexible nature
- Takes direction well
- Collaborates well with others
- Life Sciences experience highly preferred!!!
SALARY
$100-125K base + discretionary bonus
HOURS
8:30am-5:30pm
