Our client, a prestigious boutique litigation firm, is seeking an exceptional Executive/Personal Assistant to support a prominent trial lawyer and Co-Founder. This role is Tuesday & Wednesday's in-office and whenever the Founder is in NY. Must have flexibility with the days.
Provide high-level administrative and strategic support to a Founding Partner with a busy litigation and firm leadership schedule
Manage complex and ever-changing calendars, ensuring accuracy, efficiency, and prioritization across court appearances, client meetings, and firm administration
Review and manage email communications, ensuring all time-sensitive items are promptly addressed
Serve as a key liaison and trusted representative for the Partner, interacting with clients, attorneys, staff, media, and senior leaders with the utmost professionalism and discretion
Coordinate extensive domestic and international travel, including flights (commercial and private), hotels, transportation, and detailed itineraries across time zones
Support the Partner’s business development activities, including preparation of meeting materials, correspondence, and follow-up
Draft and edit high-level communications, presentations, and client engagement materials
Organize firm and client meetings, including logistics, materials, catering, and technical setup
Collaborate on and occasionally lead special projects and initiatives — professional, philanthropic, and personal — ensuring timely and successful completion
Handle a range of personal administrative tasks with discretion (appointments, family travel, personal errands, and related logistics)
Provide general tech assistance and troubleshooting to optimize Partner productivity
Be available occasionally outside standard business hours to handle urgent matters
7–10+ years of experience supporting a senior executive or partner, preferably within a legal, consulting, or professional services environment
Exceptional organizational, communication, and multitasking skills
Strong writing ability and polished professional presence
High level of emotional intelligence, judgment, and discretion
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Proven ability to anticipate needs, think strategically, and operate with minimal direction
Comfortable balancing business and limited personal support responsibilities
9:00am–5:00pm. Tuesday and Wednesday's are in-office and whenever the Founder is in NY. Must have flexibility with days.
