Executive Assistant to Head of Business Development & Team at Global Financial Firm in Midtown

New York, NY

Our client, a global investment firm, is seeking a sharp and proactive Executive Assistant to support a dynamic Global Business Development team, including the Head of the team and direct reports. The ideal candidate will be bright, detail-oriented, and thrive in a fast-paced environment. RESPONSIBILITIES

  • Provide high-level administrative support to a Senior Executive and Team within Business Development

  • Manage complex calendars, schedule internal and external meetings, and coordinate across multiple time zones

  • Arrange multi-leg domestic and international travel 

  • Prepare and submit expense reports, track reimbursements, and assist with budgeting as needed

  • Draft and edit documents, presentations, and correspondence (Microsoft Word, PowerPoint, Excel)

  • Conduct internet research and share relevant news updates to keep the team informed

  • Maintain contacts, databases, and team files; assist with CRM management

  • Serve as a point of contact and liaise with internal teams and external stakeholders

  • Provide general office and administrative support, including phones, filing, and office logistics

  • Anticipate team needs, assist with special projects, and jump in wherever needed to keep the team running smoothly

  • Maintain the highest level of confidentiality with all sensitive and proprietary information


REQUIREMENTS

  • 5-7 years of experience supporting senior-level executives, preferably in financial services

  • Bachelor’s degree required

  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); Salesforce experience a plus

  • Excellent organizational and time-management skills with exceptional attention to detail

  • Clear and confident written and verbal communication skills

  • Ability to manage multiple priorities and deadlines in a fast-paced environment

  • Resourceful problem-solver with a proactive approach and strong follow-through

  • Team-oriented, collaborative mindset with adaptability to different working and communication styles

  • Discreet and professional with a high degree of integrity


SALARY
Up to $125-130K base + discretionary bonus


HOURS
9:00am–5:00pm, Monday–Friday
Must be flexible to come in early or stay late as needed and to be reachable after hours
