Our client, an asset management firm in the Flatiron, is seeking a skilled and proactive Temp Office Manager/Receptionist to cover an assignment from October 13th-31st. The ideal candidate is a master of tasks, quick thinking, fast moving, detail-oriented, and willing to handle anything that comes their way. In addition to traditional office management responsibilities, this role will cover all reception duties, guest management, and critical office support. This role is in the office 5x-days week.
RESPONSIBILITIES
Oversee daily office operations and reception, greeting guests, answering phones, and adding visitors to the Cove system.
Handle all mail and package deliveries, shipping items via FedEx as needed.
Maintain office cleanliness and readiness: unload/load dishwashers, restock/restores meeting rooms, and adjust office temperature.
Restock pantry/kitchen supplies and coordinate weekly grocery deliveries.
Take team attendance daily.
Connect with IT for team video conference meetings and send IT team visitor lists weekly.
Manage and organize team breakfasts and grocery deliveries throughout the week (e.g., unpack Fresh Direct, adjust orders, set up/clean up breakfasts, and maintain coffee equipment).
Special Date: October 24 – Remove perishable items from the fridge for a weekend electrical shutdown.
Perform additional tasks to ensure smooth office operations, including communicating with vendors, service providers, and building management as needed.
REQUIREMENTS
Prior experience in office management or reception in a fast-paced environment preferred.
Extremely trustworthy, dependable, and able to handle sensitive information discreetly.
Excellent interpersonal and communication skills, both written and verbal.
Strong multitasking, planning, and organizational abilities.
Comfortable working onsite five days a week and handling a variety of responsibilities with a “nothing is beneath me” attitude.
Familiarity with visitor management systems (Cove experience a plus).
Proficiency with Office 365, Google Suite, and basic IT coordination tasks.
Positive, flexible, and proactive approach to work.
