Executive Assistant to C-Suite Officer at Midtown Hedge Fund

Our client, a leading multi-strategy investment firm, is seeking a highly organized and proactive Executive Assistant to support the Chief Operating Officer (COO). The ideal candidate will have 5–10 years of experience directly supporting a COO (or equivalent C-suite operational leader) within a financial services firm — hedge fund, investment manager, private equity, or multi-strategy environment strongly preferred. This role offers a unique hybrid arrangement, as the COO is based out of state — the Executive Assistant will work in the firm’s Midtown office three days per week and remotely the remaining days. It is a high-visibility position at the center of the firm’s operations, providing a front-row seat to strategic decision-making and cross-functional collaboration. RESPONSIBILITIES:
Provide comprehensive, high-level administrative and operational support to the COO with professionalism, discretion, and efficiency.
Manage an extremely active and complex calendar, coordinating internal and external meetings and ensuring all logistics are in place.
Arrange and coordinate complex domestic and international travel; manage itineraries and process expense reimbursements.
Prepare, compile, and distribute meeting agendas, briefing materials, and presentations; capture meeting notes and track follow-up items.
Serve as the primary liaison between the COO and internal teams, external stakeholders, and industry partners.
Draft, edit, and manage confidential correspondence and documents with absolute discretion.
Partner closely with other EAs and department leaders to ensure alignment across firm-wide operational priorities.
Support special projects, research assignments, and strategic initiatives on behalf of the COO.
Proactively anticipate needs and take initiative to resolve issues before they escalate.
REQUIREMENTS:
Mandatory: 5–10 years directly supporting a COO (or equivalent C-suite operational leader) within a financial services firm — hedge fund, investment management, private equity, or multi-strategy firm strongly preferred.
Demonstrated ability to operate in a high-performance, fast-paced, and dynamic environment.
Strong business acumen and familiarity with financial services industry operations and terminology; experience in a high-touch, client-driven environment in other industries will also be considered.
Exceptional written and verbal communication skills with a high level of responsiveness.
Superior organizational skills, attention to detail, and accuracy.
Professionalism, maturity, and sound judgment when handling sensitive and confidential information.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Zoom, and enterprise calendar systems.
Bachelor’s Degree preferred.

HOURS:
8:30 AM – 5:30 PM; Monday through Friday, hybrid schedule — in person 3x per week in Midtown office.
SALARY:
$125K–$150K base + discretionary bonus + amazing benefits.
