Our client, a global investment firm with a strong international presence, is seeking a poised, experienced, and highly proactive Executive Assistant to join their London, UK office. This individual will support an investment team and serve as a key team partner in managing administrative operations and cross-functional coordination. The role demands a high level of organization, excellent communication skills, discretion, and the ability to manage multiple tasks in a fast-paced, high-performing environment.
This is a full-time, in-office position based in central London, requiring someone comfortable working in a dynamic, collaborative setting. The right candidate will have strong tenure in previous roles, experience working in international firms, and the ability to interface with global stakeholders.
RESPONSIBILITIES
- Provide team EA support for Investing group, including:
- High-volume calendar management, including the ability to schedule a high volume of meetings with multiple attendees across multiple time zones;
- Book global and domestic travel itineraries, including flights, hotels, entry requirements for international destinations;
- Process all expenses in a timely manner using Concur
- Manage all necessary requirements associated with extended global travel, i.e. visas, vaccinations, etc.
- Partner with the local & firmwide EA network for coverage
- Preparation of documents and meeting materials
- Working with the global administrative team to execute on responsibilities, learn best practices, and stay connected
- General administrative support across the office including arranging meeting rooms, greeting visitors
- Equal rotational coverage of office coordination tasks
REQUIREMENTS
- Bachelor’s degree preferred
- 6+ years of relevant EA experience at a financial services firm
- Exceptional organizational skills, attention to detail, and both written and oral communication
- Excellent communication skills, both written and verbal
- High degree of responsiveness and sense of urgency; ability to multitask with continuously changing priorities on short notice
- Proactively anticipates needs
- Understands priorities and thinks critically
- High level of proficiently in MS Office Suite

HOURS
Monday–Friday; Core hours from 8:30 AM to 5:30 PM with flexibility for early morning or evening coordination with global offices
SALARY
£80,000–£100,000 base + discretionary bonus + generous benefits package
