Sr. Executive Assistant at Midtown Investment Firm (5x a week in office)

Our client, a high-performing financial services firm is seeking a polished and proactive Senior Administrative Assistant to provide high-level support to a team on their Research and Equities team. This person will play a key role in ensuring the smooth day-to-day operations of the department, handling a mix of calendar management, travel, expense processing, project coordination, and team support. This role is ideal for someone who thrives in a fast-paced, professional environment and enjoys being a true right hand to executives. This role is in office 5x a week.

RESPONSIBILITIES:
  • Provide executive-level administrative support including calendar management, scheduling, and meeting coordination
  • Arrange domestic and international travel in accordance with firm policies
  • Create and submit expense reports using the corporate accounting system
  • Prepare agendas and handle logistics for meetings and conference calls, including room reservations and catering
  • Act as a liaison for incoming calls and visitors; field inquiries and route as appropriate
  • Maintain organized and accessible paper and electronic filing systems
  • Handle confidential materials with discretion and professionalism
  • Generate reports and spreadsheets for commission management and client account maintenance
  • Coordinate special projects and department initiatives
  • Attend conferences to assist with event logistics when needed
  • Support onboarding of new hires and coordinate with IT and Facilities as needed
  • Serve as point of contact with building management for facilities-related matters (repairs, drills, vendor access, etc.)
  • Plan and execute internal and external client events or entertainment functions
REQUIREMENTS:
  • 5+ years of administrative experience supporting senior-level executives
  • Strong attention to detail, organizational skills, and ability to prioritize
  • Excellent communication and problem-solving skills
  • Professional, poised, and able to handle confidential information with discretion
  • Proactive, flexible, and able to work independently
TECHNICAL SKILLS:
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Experience with expense reporting tools and calendaring systems preferred
HOURS:
8:30-5pm + flexible for OT as needed.

SALARY:
$110-115K base + discretionary bonus + good benefits ($130-150K total cash comp)
