Our client, an Asset Management firm based in Midtown Manhattan (near Grand Central), is seeking a star Executive Assistant to support their Global Head of Business Development and provide broader support to the Investor Relations team and general office operations. This is an exciting opportunity for an experienced, proactive, and highly organized EA who thrives in fast-paced, collaborative environments.
The successful candidate will have at least 3-5+ years of corporate administrative experience, ideally supporting C-suite or senior executives in finance or professional services. This role requires stellar communication, organizational, and interpersonal skills, and the ability to seamlessly juggle multiple priorities with professionalism and discretion.
The firm offers a hybrid schedule (4 days in office, WFH Fridays) and an excellent team-oriented culture.
Provide seamless administrative support to the Global Head of Business Development and the broader IR team.
Coordinate complex domestic and international travel, including multi-leg itineraries, visas, and logistics.
Manage demanding calendars, scheduling internal and external meetings, resolving conflicts, and preparing materials.
Process expense reports accurately and in a timely manner.
Draft and proofread correspondence, presentations, and reports with a high attention to detail.
Serve as a liaison between executives, internal teams, and external stakeholders with utmost professionalism.
Assist with planning and coordinating investor meetings, events, and roadshows.
Provide general office support including supplies management, vendor coordination, and reception coverage when needed.
Collaborate with other administrative staff to ensure smooth daily office operations.
Handle ad hoc projects and tasks to support the needs of the Business Development and IR teams.
3-5+ years of relevant executive support experience, preferably in finance, asset management, or professional services.
Demonstrated success supporting senior executives or teams in a fast-paced, high-volume environment.
Strong proficiency in MS Outlook and Office Suite (Word, Excel, PowerPoint).
Excellent written and verbal communication skills.
Highly organized with strong attention to detail and ability to prioritize effectively.
Comfortable coordinating complex international travel arrangements.
Professional, polished, and discreet, with the ability to handle confidential information.
Proactive problem-solver with a positive, team-oriented mindset.
Ability to be flexible and adaptable to meet evolving team needs.
Base salary up to $120K (depending on experience)
