Our client, a high-performing investment management firm headquartered in New York City is seeking an experienced and highly organized 2nd Executive Assistant to support the Chief Executive Officer & Chief Investment Officer & Chief of Staff. The ideal candidate is a proactive self-starter who can manage high-volume workflows with speed and precision, exercise sound judgment in complex situations, and handle sensitive information with the utmost confidentiality. This role requires exceptional organizational skills, strong written and verbal communication, and the ability to partner seamlessly with internal and external stakeholders. This role is onsite 5x a week in their Midtown office.
RESPONSIBILITIES:
- Executive Support
- Partner daily with the Chief of Staff to ensure calendar reflects CIO / CEO’s top priorities.
- Work with the Chief of Staff to manage the CIO / CEO’s inbox daily: flag priority emails, track follow-ups, ensure timely responses, and file appropriately.
- Prepare weekend binder with meeting materials and documents for the upcoming week.
- Print daily research, risk reporting, earnings previews, and sell side requests.
- Manage logistics for morning meetings.
- Maintain up to date contacts, potentially implementing a CRM system.
- Foster strong partnerships with the administrative team.
- Meetings and Coordination
- Organize all aspects of meetings: print materials, coordinate conference rooms, security, and handle technology requirements.
- Answer phones daily.
- Travel and Logistics
- Arrange business and personal travel, including commercial and private flights, transportation, and accommodations.
- Work with Chief of Staff and Personal Assistant on travel itineraries.
- Expense Management and Compliance Reporting
- Track expenses and submit monthly Concur reports for the CIO / CEO and Chief of Staff
- Submit quarterly compliance reports, and work with the Family Office Manager to ensure financial reporting is submitted
REQUIREMENTS:
- Bachelor’s degree required
- Minimum of 7 years of professional experience in a high-touch administrative or executive support role
- Strong proficiency in Microsoft Office Suite
- Experience in a financial services or fast-paced corporate setting preferred
- Highly organized with a strong sense of urgency, attention to detail, and excellent judgment
- Comfortable working in a collaborative environment with high expectations and a team-first mindset
- Ability to handle confidential information with discretion and professionalism
HOURS:
8:30-5:30pm + 24/7 avail via phone/email
SALARY:
$100-160K base + discretionary bonus + great benefits
