Personal Assistant supporting UHNW couple in NYC

Our client, a UHNW couple is seeking a highly skilled Personal Assistant to provide seamless support across all aspects of their daily lives. In this role, the Personal Assistant will manage a wide range of personal responsibilities with discretion and efficiency. The ideal candidate will have a strong background as a Personal Assistant, be comfortable handling personal tasks, and work collaboratively alongside the Executives’ existing EA and PA to ensure a smooth and coordinated support system. This position requires domestic and international travel. The successful candidate must be able to work independently, exercise the highest level of confidentiality, and demonstrate exceptional attention to detail and follow-through.

Qualifications
  • 5+ years of experience as a Personal Assistant supporting high-profile or high-net-worth individuals.
  • Proven ability to manage complex, ever-changing travel itineraries (both domestic and international).
  • Exceptional organizational skills with strong attention to detail and follow-through.
  • Discretion and ability to handle confidential information with the utmost professionalism.
  • Flexibility to travel frequently and adapt to a dynamic, fast-paced schedule.
  • Strong communication and interpersonal skills; able to work collaboratively with existing Executive and Personal Assistants, as well as liaise with vendors, staff, and third parties.
  • Ability to anticipate needs and proactively solve problems with a service-oriented mindset.
  • Comfortable coordinating logistics across multiple time zones and locations.
  • Proficient in calendar management, expense reporting, and general administrative support.
Responsibilities
  • Coordinate, book, and manage all aspects of the Executives' complex travel schedules, including flights, accommodations, ground transportation, and activities.
  • Accompany Executives on trips to provide in-person support, ensuring seamless travel experiences.
  • Partner closely with the Executives' existing Executive Assistant and Personal Assistant teams to ensure consistent, high-level support across personal and professional matters.
  • Act as a liaison between Executives and hotels, restaurants, service providers, and event contacts.
  • Handle personal errands, special projects, and ad hoc tasks as needed both while traveling and at home base.
  • Maintain up-to-date travel documents, including passports, visas, and other necessary paperwork.
  • Manage packing and shipping logistics to ensure Executives have everything they need at each destination.
  • Anticipate needs while traveling, including dining arrangements, wardrobe requirements, and schedule adjustments.
  • Coordinate with household staff and other support personnel to maintain continuity and organization.
  • Uphold strict confidentiality and security protocols at all times.
SALARY
$100-200K base (DOE) + paid OT + discretionary bonus
 
HOURS

TBD + 24/7 availability via cell phone and email as required
