Our client, a highly reputable Investment Firm, is looking for an Executive Assistant to support senior Investment Team staff in all administrative tasks. The EA will seamlessly handle the calendar management, travel, expenses, and projects as needed. The EA may also be asked to help support ad-hoc office management and administrative tasks for the firm’s senior leadership team upon request. The ideal candidate will be polished, exceptionally organized, well spoken, and pay impeccable attention to detail. The candidate must be resourceful in executing tasks and able to function autonomously in a fast-paced environment. This role is in the office 5x a week.
Responsibilities:
- Maintain high-volume calendar, schedule and coordinate internal and external meetings.
- Handle matters on behalf of senior personnel as well as alert them to urgent matters that requires their attention.
- Coordinate complex domestic and international travel arrangements which include flights, car service, dinner reservations, colleague and client meetings etc. This also includes troubleshooting travel problems, if they arise, when individuals are traveling.
- Answer phone lines, take messages, schedule appointments.
- Maintain confidentiality of all sensitive and confidential issues.
- Assist with firmwide event coordination and planning.
- Participate as a member of an administrative staff that supports a growing office environment.
- Maintenance of internal directories (including phone lists, emergency contacts, etc.).
- Facilitate the hiring process for the investment team by coordinating interview schedules with recruiters based on candidate and team availability. Manage the distribution of resumes and oversee all day-of interview logistics ensuring a seamless candidate experience.
- Serve as a primary point of contact for the team and act as a liaison between the investment team and other internal departments.
- Anticipate the needs of the team members and proactively take initiative to provide support and solutions.
- Ad-hoc tasks as needed.
Requirements:
- Minimum of three years of experience supporting senior level management.
- Previous job references required.
- College degree required.
- Excellent Microsoft Office Skills.
- Strong organizational skills and attention to detail.
- Ability to work independently with strong follow-through skills.
- Excellent communication skills – both verbal and written.
- Flexibility to juggle an extensive degree of multiple and changing priorities.
