Executive Assistant to Partner and team at global investment bank in Midtown, NY

Our client, a global investment bank, is seeking to hire an Executive Assistant to provide support a Partner and his team of 5 on the Tech Investment Banking team.  This is a great opportunity to be part of a renowned investment firm. The ideal candidate will have 5+ years of administrative experience supporting a senior-level Executive and have a very strong work ethic. This role requires the ability to work in a fast-paced environment with a focus on client-service, problem solving and proactively resolving issues. This role is hybrid; M-Th in office, Friday work from home.

RESPONSIBILITIES                            
  • Maintain executives’ calendar, schedule all meetings and conference calls, field e-mails and phone calls requesting meetings, handle meeting conflicts and prioritization issues
  • Provide support to Partner’s team (1 MD & 4 direct reports)
  • Telephone coverage, answer phones, take accurate messages, know the whereabouts of the executive at all times, handle urgent/confidential calls with appropriate judgment; back-up other lines, as needed, for colleagues
  • Able to communicate effectively with banker when in office or traveling
  • Heavy client interaction with high-level executives; act as liaison with clients and their assistants
  • Coordinate all related conference rooms including any catering, audio/ videoconference set up
  • Arrange all aspects of travel, keeping executives’ travel profile up-to-date, arrange flights, hotels, rental car and sedan service, currency exchange
  • Prepare itineraries
  • Prepare and submit all expense reports on a timely basis, following up on discrepancies and missing receipts to maintain current balances
  • Type correspondence, memos and presentations, prepare presentation and meeting materials; copy, collate, bind if necessary
  • Navigate Firm’s resources, interface with various departments on behalf of executive to collect information, respond to requests, obtain services
  • Retrieve research or other necessary materials from intra/internet
  • Send and retrieve digital and inbound faxes
  • Provide backup support for colleagues during vacation/sick days, and assist their bankers as needed with phone coverage and other office needs

REQUIREMENTS
  • 5+ years EA experience (ideally in finance)
  • Proficient in Microsoft Office applications, especially Outlook for email, calendar and contacts, Excel, PowerPoint, internet and research tools
  • Keep up to date with office procedures and technical training as well as all policy guidelines and compliance requirements
  • Excellent communication, writing, judgment, and problem-solving skills
  • Flawless attention to detail as well as excellent organization/time management skills
  • Must be an enthusiastic, positive team player who is willing to help out and who works well with colleagues
  • Able to work in a fast-paced environment and handle multiple tasks concurrently
  • Ability to work independently with minimal supervision
  • Ability to manage sensitive, complex, confidential information

SALARY
$115-125K + Paid OT + Discretionary Bonus + Benefits

HOURS
8:30am-5:30pm + flexibility for OT as needed
This role is hybrid; M-Th in office, Friday’s work from home
